Welcome to VidiScan. This privacy policy explains how we collect, use, share, and protect your information when you use our mobile application VidiScan (hereinafter the "App"). We are committed to respecting your privacy and handling your data in accordance with applicable regulations, notably the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).

2. Data Collected.

We collect various types of data to operate the App and improve your experience.

2.1 Data you provide to us directly

  • Scanned documents: images, PDFs, or other files you scan or import. By default, these files are stored locally on your device. If you enable Google Drive synchronization (Premium option), they are also stored on your Drive account.
  • AI Conversations: when you use the AI chat feature (Gemini), your questions and the corresponding answers are saved locally on your device for the conversation history. They are never sent to our servers.
  • Gemini API Key: if you configure your own Google Gemini API key, it is stored encrypted on your device (Android Keystore) and, if you choose, on your Google Drive (Premium option).
  • Account Information: if you log in with Google, we receive your name, email address, and profile picture. This information is used solely to identify you and is not shared.

2.2 Data collected automatically

  • Usage Data: we may collect anonymous information about how you use the App (e.g., frequency of use, features used) via Firebase Analytics. This data does not personally identify you.
  • Crash Data: via Firebase Crashlytics, we collect error reports to improve the App's stability. These reports may contain technical information (device model, operating system version) but no personally identifiable data.
  • Advertising Data: if you use the free version, Google AdMob may collect advertising identifiers (IDFA, AAID) to provide you with personalized ads (subject to your consent). Please review Google's privacy policy for more information.

2.3 Data related to permissions

The App requests certain permissions to function:

  • Camera: required to scan documents.
  • Storage: required to save and open files.
  • Microphone: (optional) for voice command capture (Premium).
  • Notifications: to inform you of the progress of background tasks.

You can revoke these permissions at any time in your device settings.

3. Use of Data

We use your data solely for the following purposes:

  • To provide and improve the App's features (scanning, PDF editing, AI chat).
  • To save your preferences and settings.
  • To display advertisements (free version) via AdMob, in accordance with your consent choices.
  • To analyze performance and fix bugs.
  • To synchronize your documents with Google Drive if you enable this option (Premium).

We do not sell your personal data to third parties.

5. Storage and Security

  • Local storage: by default, all your documents and conversations are stored on your device, in the App's private directory. We recommend protecting your device with a screen lock.
  • Cloud storage (Premium option): if you enable Google Drive synchronization, your documents are copied to a dedicated folder on your personal Drive. Only you and the App have access to it.
  • Encryption: the Gemini API key is encrypted via Android Keystore. Backups to Drive are encrypted using AES-256.
  • Transfer security: all network communications use TLS 1.3.

Despite these measures, no system is completely infallible. You use the App at your own risk.

6. Data Retention

  • Scanned documents: retained until you delete them manually or via the trash (deleted documents remain in the trash for 30 days before permanent deletion).
  • AI Conversations: retained locally until the conversation is deleted.
  • Analytics data: retained for 14 months (Firebase Analytics standard retention period).

7. Your Rights (GDPR / CCPA)

In accordance with applicable regulations, you have the following rights:

  • Access: obtain a copy of your personal data.
  • Rectification: correct inaccurate data.
  • Erasure: request the deletion of your data (unless we have a legal obligation to retain it).
  • Restriction of processing: restrict the use of your data.
  • Portability: receive your data in a structured format.
  • Objection: object to processing based on our legitimate interest (e.g., analytics).
  • Withdrawal of consent: for personalized advertising, you can change your choice in the App settings.

8. Children

Your data may be transferred to countries outside the European Union (notably the United States) when we use Google's services. These transfers are governed by the European Commission's standard contractual clauses or by Google's adherence to the Data Privacy Framework (where applicable).
